Administration Manager – Roles and Responsibilities
Local Councils' Association
As the Administration Manager at the Local Councils' Association, you will play a key role in supporting the smooth operation of the organization. Your responsibilities will include:
Finance Management:
· Assisting with budgeting, financial reporting, and tracking expenditures.
· Supporting the preparation and management of financial statements and audits.
Human Resources (HR):
· Assisting with recruitment, onboarding, and employee records management.
· Supporting HR policies, training programs, and staff development initiatives.
Premises Management:
· Overseeing the maintenance and management of the organization's facilities.
· Coordinating with external contractors as required.
EU Funded Projects:
· Assisting in the management and administration of EU funded projects.
· Ensuring compliance with funding regulations, reporting requirements, and timelines.
Event and Initiative Coordination:
· Supporting the planning and execution of events and initiatives.
· Coordinating logistics, communication, and engagement for events hosted by the Association.
International Representation:
· Traveling on behalf of the Local Councils' Association to represent the organization at international platforms, conferences, and events.
· Engaging with key stakeholders and promoting the Association’s mission and objectives.
Report Writing and Documentation:
· Assisting in the preparation of detailed reports, presentations, and documentation for internal and external stakeholders.
· Contributing to the development of materials for funding proposals, policy advocacy, and organizational reviews.
Your role will be integral to ensuring the efficiency and effectiveness of the organization's operations, with a focus on collaboration, problem-solving, and supporting the overall success of the Local Councils' Association.
To be successful in this role, candidates should ideally possess the following qualifications:
Educational Requirements:
· A Bachelor's degree in Business Administration, Management, Public Administration, Finance, Human Resources, or a related field.
· Additional certifications in finance, HR, or project management would be advantageous.
Experience:
· At least 3–5 years of experience in administration or management roles, ideally within the public sector, non-profit, or local government organizations.
· Proven experience in financial management, HR practices, and project coordination.
· Experience in handling EU funded projects and understanding of funding regulations is highly desirable.
Skills:
· Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
· Strong report writing skills, with attention to detail and accuracy.
· Ability to work both independently and as part of a team in a collaborative environment.
Additional Qualifications:
· Willingness to travel internationally to represent the Local Councils’ Association at various platforms and events.
· A proactive approach, with the ability to handle challenges and solve problems effectively.
Remuneration
The remuneration for this position is pegged to Salary Scale 7, in accordance with the pay scales for Local Councils' employees. Specific salary details will be determined based on qualifications, experience, and the relevant pay scale guidelines.
